About the role
Key responsibilities & impact- Manage calendars, schedule and coordinate meetings, and prioritize competing requests
- Prepare executive-ready communications, presentations, and briefing materials
- Coordinate domestic and international travel, including itineraries and expense reconciliation
- Serve as liaison between leadership, internal teams, and external partners
- Handle confidential information with discretion and exercise sound judgment
- Support special projects and events as assigned
- Partner with the hiring manager to improve employee experience through proactive planning and onboarding of new EMG or other team members
- Collaborate to formulate transition plans that minimize or eliminate negative impacts for incoming EA/EMG relationships
- Update and submit organizational charts before the first of each month
- Update distribution lists within one business day of employee hire or exit
- Ensure new hires receive access to departmental resources and operational knowledge
- Coordinate desk/seating logistics and provide oversight for on-site events
- Manage travel and expense reporting
- Manage team budget and confirm people leader adherence to individual budget plans
- Maintain filing systems for key documents
- Generate reports requested by assigned EMG
- Identify, measure, monitor, and control risks associated with business activities in accordance with risk and compliance policies and procedures
Requirements
What you’ll need- High School Diploma or General Equivalency Diploma
- Demonstrated ability to handle sensitive business, financial, personnel, and strategic information with professionalism and sound judgment
- Advanced proficiency with Microsoft 365 (Outlook, Teams, PowerPoint, Excel, Word, OneNote)
- Comfort learning new business applications and collaboration tools
- Strong project coordination skills
- Ability to manage multiple priorities, deadlines, and administrative processes with minimal supervision
- Ability to anticipate needs, identify potential conflicts, and independently make decisions regarding scheduling, communications, and executive time management
- Proven experience managing complex executive calendars, prioritizing competing demands, resolving scheduling conflicts, and coordinating across multiple leadership teams
- Strong written and verbal communication skills
- Experience drafting professional correspondence, preparing meeting materials, and interacting confidently with senior leaders
