About the role

Key responsibilities & impact
  • Support day-to-day Finance, HR, and Operations activities for the USTA New England team
  • Process invoices, staff and volunteer expense reimbursements, vendor paperwork, and program registration payments
  • Perform financial data entry and support general ledger and monthly closing processes
  • Monitor financial data and assist with routine financial activities and reconciliations
  • Collect and organize documentation for annual audits, payroll registers, journal entry backups, and year-end accruals
  • Coordinate independent contractor paperwork and background checks
  • Coordinate recruitment logistics, job requisitions, applicant screening paperwork, and interview scheduling
  • Manage onboarding for new hires, coaches, and volunteers, including background checks, Safe Play compliance, and digital onboarding portals
  • Maintain secure digital personnel and medical records according to retention policies
  • Track employee PTO, sick time, parental leave, and required training completion
  • Assist with offboarding, equipment recovery, record updates, and digital access revocation
  • Help digitize paper-based internal forms and workflows
  • Coordinate virtual and in-person meeting logistics
  • Support staff technology needs, including computer and software purchases
  • Manage organizational inboxes, physical mail, and office/event supply orders
  • Report to the Operations Manager and collaborate with other departments, USTA National, and volunteers

Requirements

What you’ll need
  • Self-motivation, initiative, resourcefulness, and proactive follow-through
  • Strong service orientation, problem-solving, interpersonal, and conflict-resolution skills
  • Strong personal organization, prioritization, time management, and ability to meet deadlines
  • Ability to adapt and juggle tasks across multiple departments
  • Ability to maintain confidentiality and protect sensitive personnel and financial data
  • Strong written and verbal communication skills
  • Ability to use data and quantitative/qualitative feedback for decision-making
  • Strong numerical accuracy, basic tracking, and routine reporting skills
  • Proficiency with Google Drive, Google Workspace, Microsoft Office Suite, Excel, and Google Sheets
  • Comfortable learning new technology platforms; Monday.com preferred
  • High school diploma or equivalent required
  • Must live in the New England Section
  • Must be able to work some flexible hours, including evenings and weekends
  • Must be able to travel to the Westborough, MA office at least once a week
  • Good math skills and high attention to detail
