About the role

Key responsibilities & impact
  • Provide high-level, confidential administrative support to the Executive Director, UIPA Board of Directors, and senior staff
  • Serve as primary custodian of board governance and ensure compliance with OPMA and UIPA statutory requirements
  • Coordinate agendas, public notifications, meeting logistics, room setup, catering, supplies, and technical arrangements
  • Organize in-person and remote meeting participation and troubleshoot audio/visual or technical issues
  • Attend board and committee meetings and record, compile, and publish official minutes
  • Produce required audio and video recordings for public distribution and protected internal records
  • Maintain a searchable repository of signed board resolutions and ordinances
  • Manage board member onboarding and offboarding, including orientation, governance training, and disclosures
  • Manage the Executive Director’s calendar, appointments, meetings, and travel logistics
  • Screen calls and visitors and delegate action items to appropriate staff
  • Process travel reimbursements, meeting stipends, and per diem payments
  • Serve as backup certified UIPA Records Officer and administer GRAMA requests
  • Provide administrative oversight for subsidiary entities and committees
  • Draft and edit reports and electronic correspondence
  • Greet and assist government officials and private partners
  • Track state legislative sessions affecting UIPA’s mandate or operations

Requirements

What you’ll need
  • Bachelor’s degree in Business Administration, Communications, Public Administration, or a related field (preferred)
  • Minimum of 5 years of experience in executive-level administrative support, preferably within a State of Utah or local government entity
  • Must obtain and maintain Utah State Archives Records Officer Certification within 90 days of hire
  • Possession of or ability to obtain a Utah Notary Public commission within 90 days of hire is preferred
  • Demonstrated understanding of Utah statute and administrative rules
  • Professional written communication proficiency
  • Experience setting up and managing hybrid meetings
  • Proficiency with video conferencing platforms such as Zoom and Google Meet
  • Basic audio/visual troubleshooting
  • Comprehensive knowledge of OPMA, UIPA statute, GRAMA requirements, and parliamentary procedure
  • Advanced proficiency in office productivity suites, Google Workspace, document management systems, and web-publishing platforms
  • Ability to track state legislative sessions and laws impacting the authority
  • Ability to handle sensitive information with discretion
  • Availability occasionally outside normal business hours
  • Limited travel as necessary
  • Ability to perform high-speed typing and computer operation
  • Ability to remain stationary for extended periods during board meetings
