About the role

Key responsibilities & impact
  • Serve as the primary administrative point of contact for the Reference Lab Services Courier Division
  • Conduct communications between the courier team and internal and external partners
  • Coordinate operational communications with clients, including service interruption notifications, specimen chain-of-custody verification, and policy changes
  • Monitor courier call-outs, locate substitute couriers, and provide schedule updates
  • Answer division telephones and central email communications
  • Resolve client questions and issues and escalate matters when necessary
  • Contact couriers to schedule specimen retrievals and deliveries
  • Coordinate third-party courier services when necessary
  • Assist leadership with candidate phone screens and interview scheduling
  • Update weekly staffing schedules
  • Assist with bi-annual vacation bids
  • Input and reconcile weekly timekeeping
  • Monitor shift punctuality and produce regular updates for division leadership
  • Perform complex administrative support functions with delegated authority
  • Assist with creating and refining procedures and protocols
  • Oversee readiness and proper use of office equipment and report maintenance needs
  • Schedule team meetings
  • Assist in writing and editing administrative guidelines and policy
  • Participate in courier recruiting activities, including résumé reviews and phone screens

Requirements

What you’ll need
  • High school graduation or equivalent AND two (2) years of experience in courier operations, logistics coordination, fleet support, or administrative support within a similar operational environment OR equivalent education or experience
  • Prior experience in courier or professional driving, operations, or logistics
  • Proficient with Microsoft Windows and Office Suite, including Word, Excel, Teams, and Outlook
  • Proficient with smartphones and mobile devices used for courier communication and basic workflow tasks
  • Excellent written and verbal communication skills
  • Excellent customer service skills
  • Highly organized and detail oriented, with the ability to coordinate multiple priorities in a fast-paced and demanding role
  • Ability to respond to Fleet Services requests for maintenance and repairs and ensure vehicles are delivered promptly
  • Ability to schedule team meetings
  • Ability to assist in writing and editing administrative guidelines and policy
  • Ability to participate in courier recruiting activities, including résumé reviews and phone screens
