About the role

Key responsibilities & impact
  • Execute daily stewardship activities and fulfillment
  • Coordinate donor experiences and touchpoints
  • Liaise with vendors and manage production logistics
  • Enter and maintain CRM data and records
  • Coordinate lists, reports, and dashboards for outreach and tracking
  • Conduct data audits, resolve issues, segment audiences, and maintain accurate donor profiles
  • Document and refine standard operating procedures and workflows
  • Support cross-DAR coordination and implementation of best practices
  • Monitor timelines, tasks, and deliverables
  • Apply creative problem solving to improve processes
  • Benchmark best practices and seek learning opportunities
  • Support the Executive Director with calendars and meetings
  • Provide tactical support for budget operations and prepare expense reports
  • Coordinate team logistics, scheduling, follow-ups, and constituent communications
  • Assist with presentations, materials, and travel needs
  • Maintain strict confidentiality related to sensitive donor and department information
  • Work cross-departmentally to support other teams and foster collaboration
  • Report administratively and functionally to the Senior Director of Donor Relations Operations

Requirements

What you’ll need
  • Bachelor’s degree, or the equivalent, is necessary
  • Three years of relevant donor relations or operations experience, or the equivalent, is necessary
  • Prefer at least three years of experience within higher education
  • Experience in optimizing processes and refining data in a CRM
  • Strong computer skills including Microsoft Excel, PowerPoint, and Word
  • Affinity for mastering new computer programs and database management
  • Demonstrated ability to work successfully with high-level executives
  • Excellent interpersonal management, oral and written communication, customer service, and project management skills
  • Confidentiality and discretion
  • Professional attitude, tact, persuasion, and judgement
  • Ability to multitask, handle crisis situations, work under pressure, work independently, take initiative, meet deadlines, and adapt to changing priorities
  • Flexibility to work nights and weekends when needed
  • Capacity to perform in an intellectually rigorous and complex academic environment
