About the role
Key responsibilities & impact- Support the New York Development Team within Vanderbilt’s Development and Alumni Relations department
- Provide operational and logistical support for team communications, events, travel, donor events, meeting preparations, data reporting, and other activities
- Maintain financial and procurement policy knowledge; record and submit checks/cash; resolve budget discrepancies; monitor office budgets and maintain accurate records
- Coordinate internal and external event activities, meetings, logistics, and communications
- Coordinate prospect and donor research; summarize findings; prepare event and meeting briefings and bio updates
- Manage research projects and data analysis for the New York Development team and campus partners
- Create database activity reports for constituent communications
- Manage donor gift acknowledgements, including reports, letters, approvals, and execution
- Assist with alumni programs and other event logistics
- Provide calendaring, expense reporting, procurement, budget management, and administrative support
- Organize and participate in meetings; coordinate team schedules; maintain travel plans and calendars
- Update and manage fundraising database data, reports, dashboards, opportunities, volunteer coding, and data integrity
- Compose and maintain database and business-process documentation
- Follow up on donor visits with mailings, packages, and materials
- Provide customer service to prospects, donors, faculty, and staff
- Manage office files and team supplies
- Support special projects and initiatives
- Review trends and recommend continuous-improvement strategies
- Establish regular communication with internal and external stakeholders
- Perform other duties as assigned
Requirements
What you’ll need- Associate’s degree, or the equivalent, is necessary
- 2–3 years of relevant work experience, or the equivalent, is necessary
- Prefer experience within development and/or higher education
- Excellent interpersonal management skills
- Confidentiality and discretion
- Professional attitude, tact, persuasion, and judgement in interactions with internal and external constituents
- Strong computer skills including Microsoft Excel, PowerPoint, and Word
- Affinity for mastering new computer programs and database management
- Salesforce experience a plus
- Ability to make independent decisions
- Excellent oral and written communication skills
- Excellent customer service skills
- Excellent project management skills with ability to multi-task
- Ability to handle crisis situations and perform well under pressure
- Some evening/weekend work as needed
