About the role

Key responsibilities & impact
  • Develop briefing documents, talking points, executive-level presentations and other materials
  • Create presentations from concept through final production, including storylines, content synthesis, slide design and feedback incorporation
  • Gather and synthesize information from Communications and Marketing and across the university
  • Identify required information, engage contributors and move work through completion
  • Review materials for completeness, accuracy, consistency and readiness
  • Use technology and AI-enabled tools for research, synthesis, drafting and production
  • Track commitments, decisions, requests, action items, dependencies and deliverables
  • Coordinate responsible individuals and proactively maintain workflow
  • Anticipate upcoming needs and prepare information and materials
  • Manage substantive requests into and out of the Executive Office
  • Manage defined projects and special assignments from direction through completion
  • Develop project plans, coordinate contributions, manage timelines and produce deliverables
  • Conduct research and analysis to support projects, leadership discussions and decisions
  • Prepare agendas, meeting materials, decision documents and follow-up summaries
  • Attend selected meetings to capture decisions and coordinate resulting work
  • Build relationships across Communications and Marketing and throughout the university
  • Coordinate projects involving multiple teams and stakeholders
  • Handle confidential, sensitive and high-visibility matters with discretion
  • Partner with the Executive Assistant to coordinate administrative logistics and substantive preparation

Requirements

What you’ll need
  • Bachelor's degree and 2-5 years of relevant professional experience, or an equivalent combination of education and experience
  • Experience in higher education, communications, or government is a plus
  • Ability to manage projects and deliverables in a complex, fast-paced organization
  • Exceptional written communication skills and ability to synthesize information into clear, concise executive-level materials
  • Ability to develop polished executive-level presentations in PowerPoint or Canva
  • Strong visual judgment and ability to translate ideas and information into compelling narratives and materials
  • Strong research, analytical and problem-solving capabilities
  • Excellent organizational skills and ability to manage multiple priorities and deadlines
  • Initiative and ability to complete assignments with limited supervision
  • Strong judgment and discretion with confidential and sensitive information
  • Ability to build relationships and coordinate with individuals at multiple organizational levels
  • Comfort working directly with senior executives and adapting to changing priorities
  • Strong proficiency with contemporary workplace technology and AI-enabled tools
