About the role
Key responsibilities & impact- Perform daily front desk operations for an outpatient clinic
- Greet and direct visitors and provide high-quality customer service
- Answer client and caller queries and serve as a resource for clients, families, and outside agencies
- Check in and check out clients and collect and track co-pays
- Schedule, remind, and coordinate appointments
- Update and maintain client records in the designated system
- Manage referrals and assist with initial paperwork and information gathering
- Assist with insurance verification
- Operate computer and office equipment and answer high-volume telephone calls
- Screen, prioritize, document, route, and follow up on incoming communications
- Serve as liaison between clients and clinicians/prescribers
- Coordinate telephone messages, mail, electronic communications, and faxes
- Compose, edit, and distribute correspondence, memos, documents, and forms
- Prepare word-processing documents, spreadsheet reports, and information
- Maintain files and databases, copy documents, and oversee record-keeping
- Process record requests
- Attend meetings and prepare and distribute minutes
- Maintain clinicians' and prescribers' appointment calendars
- Collaborate with prescribers on medication refill requests, lab ordering/entering, transportation, medication orders, and other directed tasks
- Provide clerical, project, and administrative support to clinical staff and the Office Manager
- Provide support to other areas as requested
- Handle first-level complaints, resolve issues independently when possible, and escalate unresolved issues
- Maintain supplies and office appearance
- Ensure adherence to clinic procedures and policies
- Perform other related duties as required
Requirements
What you’ll need- A minimum of three years of administrative, clerical or secretarial experience in a medical office setting
- High school diploma or equivalent is required
- Bachelor's degree preferred
- Bilingual English/Spanish speaking are encouraged to apply
- CPR required within two weeks of hire
- First Aid required within two weeks of hire
- CPSS required
- Ability to lift at least 25 pounds using proper lifting techniques
- Ability to operate a computer and office equipment such as a calculator, copier, and printer
- Ability to remain in a stationary position 50% of the time
- Ability to bend, reach, file, sit, stand and move around the facility
- Ability to speak, hear and communicate with clients, staff and external representatives
- Close, distance, color, peripheral and depth vision, and ability to adjust focus
- Excellent organizational and multitasking skills
- Ability to prioritize and communicate effectively orally and in writing
- Knowledge of general office practices and procedures
- Ability to exercise sound judgment, work independently, meet deadlines, and maintain confidentiality
- Strong interpersonal skills and ability to work effectively with persons from a broad spectrum of backgrounds
- Knowledge of general computer applications and equipment
- Knowledge of medical terminology and healthcare operations preferred
