About the role

Key responsibilities & impact
  • Support the Patient Services department and facilitate the infusion admission process
  • Collaborate with and support all Vivo Infusion departments
  • Assist callers as the first line of the escalation matrix
  • Schedule follow-up appointments to support continuity of care for existing patients
  • Review, organize, prioritize, and escalate calls and tasks in a timely manner
  • Answer a high volume of incoming calls
  • Provide immediate responses and resolutions to callers
  • Triage calls based on need and priority to the appropriate department
  • Research and review charts to provide accurate information
  • Maintain log notes to ensure continuity of care and communication
  • Perform data entry and accuracy audits
  • Document referral progress updates in the referral tracking program
  • Review daily and weekly schedules for scheduling
  • Store and locate patient records in appropriate file structures
  • Maintain knowledge of insurance contracts, formularies, and drug copay assistance program requirements
  • Follow and uphold HIPAA guidelines
  • Maintain working knowledge of referral tracking and EMR systems
  • Use Adobe Standard tools to compile, sort, and orient PDF documents
  • Manipulate Excel spreadsheets to sort, condense, and prioritize data
  • Communicate with insurers, referring office staff, patients, vendors, physicians, and internal and clinical staff
  • Coordinate with Patient Navigator, Medical Records Review, and Patient Resources teams regarding patient accounts, referrals, insurance, financial documents, prior approvals, and coordination of benefits
  • Use appropriate templates, naming conventions, formats, and email distribution lists for system notations and communications
  • Assist with projects as assigned
  • Update tracking systems and spreadsheets
  • Maintain patient records and confidentiality in the electronic medical record system
  • Attend required organizational, departmental, team, and performance meetings
  • Perform other duties as assigned

Requirements

What you’ll need
  • Minimum 1-2 years of related prior work experience required; proven competencies can take precedence over prior work experience
  • High School graduate or equivalent; associates or bachelor's degree preferred
  • Proficient at an intermediate level with Microsoft Outlook, Excel, Word, and Teams
  • Knowledge of Medicare and commercial insurance benefits, medical authorizations, and billing preferred
  • Knowledge of HIPAA and medical abbreviations and terminology preferred
  • Fluent in written and spoken English
  • Outstanding written, verbal, communication, and interpersonal skills
  • Experience supporting multiple managers and supervisors
  • Prior experience working with sensitive information and maintaining confidentiality
  • Must reside in one of the listed states at the time of employment
  • Travel may be up to 10%
  • Overtime and weekend hours may be mandatory during peak seasons and to meet business needs
  • Ability to perform essential duties satisfactorily, with reasonable accommodations available
  • Ability to regularly lift/move up to 10 pounds and occasionally up to 50 pounds
