About the role

Key responsibilities & impact
  • Lead a cross-jurisdictional corporate secretarial function comprising teams in Ireland and Luxembourg
  • Own the function’s strategy, operating model, control environment, service quality and performance
  • Draft, implement, review and refine controls, processes, procedures, manuals, trackers and billing controls
  • Define, monitor, analyse and report KPIs; identify trends, implement corrective actions and drive continuous improvement
  • Govern revenue and billing, including billing data accuracy, revenue reporting, fee reviews and leakage identification
  • Provide commercial input into pitches and client proposals
  • Lead operational projects and technology adoption, optimisation and governance
  • Undertake capacity, succession and strategic planning
  • Maintain executive oversight of controls and ensure weaknesses are escalated and remediated
  • Oversee delivery of board support, statutory record maintenance, regulatory filings and corporate secretarial services
  • Review and report on client satisfaction
  • Own senior client relationships across Ireland and Luxembourg
  • Liaise with service providers and stakeholders; support client growth and retention
  • Attend client meetings, pitches, onboarding and service calls
  • Manage team performance and operations, including work allocation and delivery within agreed timeframes
  • Provide guidance, training and mentorship
  • Lead leadership development and recruitment efforts
  • Act as senior functional escalation point for complex or material matters
  • Conduct appraisals and associated line-manager tasks
  • Build a high-performing, engaged and accountable team

Requirements

What you’ll need
  • 10+ years' experience in corporate secretarial, governance or related roles within the funds industry
  • Experience leading multi-disciplinary or cross-jurisdictional teams, including management and development of senior managers and operational leads
  • Strong technical knowledge of fund governance, corporate governance and regulatory filing requirements within Ireland or Luxembourg
  • Experience managing complex fund structures and delivering governance and corporate secretarial services within a regulated environment
  • Experience in operational risk management, control design, remediation programmes and governance frameworks
  • Experience developing and embedding operating models, policies, procedures, controls and management information frameworks
  • Experience delivering technology-enabled change, including entity management systems and board portal solutions
  • Experience interpreting operational, financial and management information and translating insights into measurable improvements
  • Experience building high-performing teams through recruitment, succession planning, coaching, performance management and employee development
  • Strategic thinking and ability to balance long-term objectives with operational execution
  • Highly organised and able to manage multiple priorities
  • Collaborative leadership style focused on accountability, service excellence and continuous improvement
  • Strong attention to detail and commitment to quality, governance and regulatory compliance
  • CGI, ILA or another recognised governance qualification is preferred
  • Fluent English, written and spoken, is essential
