About the role

Key responsibilities & impact
  • Answer phone calls and respond to client messages
  • Send routine follow-ups and status updates
  • Prepare and send meeting reminders
  • Manage inbound client requests, including beneficiary updates, address changes, and RMD questions
  • Order office supplies and coordinate office maintenance
  • Ensure accurate completion of prospect or new client paperwork and setup
  • Follow up on funds transfers from surrendering companies
  • Maintain Salesforce database and client files
  • Research and follow up on issues with the Broker/Dealer, WEG Operations, and vendors
  • Record incoming assets to the appropriate blotting tool
  • Build client relationships by understanding personal history and current financial needs
  • Prepare account transactions, trades, deposits, withdrawals, and RMDs
  • Communicate with clients to understand requests, determine required actions, route matters to advisors, or resolve issues, including death claim processing
  • Work with clients’ tax or legal counsel as needed
  • Gather client data and prepare materials for client meetings and reviews
  • Conduct tax research, including 1099s
  • Complete client review follow-up needs
  • Execute WEG’s Suitability Guidelines, operational processes, and sales model
  • Attend client services, company educational, and vendor presentation events as applicable
  • Assist Advisor Team Operations with process, system, and operational improvements
  • Complete operational projects supporting enhancements and changes
  • Participate in company-offered sessions
  • Perform other duties as assigned

Requirements

What you’ll need
  • Bachelor's degree or equivalent, demonstrated through one or a combination of the following: work experience, training, military experience, education preferred
  • 3-5+ years of industry experience required, including client-facing experience
  • Experience with Salesforce (or comparable CRM) required
  • Experience with Schwab and Fidelity required; experience with Pershing preferred
  • Good working knowledge of Word, Excel, Outlook, and PowerPoint required
  • Excellent oral and written communication skills; ability to communicate effectively and work with all levels of staff and clients
  • Ability to prioritize workflow and projects; good problem-solving skills and strong attention to detail
  • Ability to work in a deadline environment and to be flexible under pressure
  • Comfort with learning new AI applications and understanding their appropriate use cases and limitations; as AI technology evolves, continued learning and adaptation will be expected
  • Ability to stand or sit for long periods of time, file documents in high or low cabinets, use the telephone, and use computer systems
