Litigation Legal Assistant

About the role
Key responsibilities & impact- Support three legal professionals in the Commercial Litigation practice
- Draft and/or prepare pleadings, notices of motion, notices of application, affidavits, facta, presentations and correspondence
- Compile records and briefs as required
- Arrange service and filing of legal documents with process servers, agents and appropriate courts
- Manage and track deadlines, conditional dates and appointments
- Manage lawyers’ calendars and schedule appointments and court dates
- Type correspondence and legal documents from handwritten notes, phone or verbal instructions
- Open and close electronic and physical files
- Maintain detailed matter/client lists and the electronic filing system (iManage)
- Run monthly accounts and review entries for accuracy and completeness
- Enter dockets into accounting software (3E)
- Manage internal and external communications, including calls, mail, faxes and email
- Respond to client inquiries and conduct follow-up
- Update client contact lists in the CRM (InterAction)
- Work with the Marketing and BD department as required
- Schedule appointments and meetings, book meeting rooms and make travel arrangements
- Coordinate with internal departments to provide documents and materials on time
- Establish and assess work priorities
- Support colleagues and cover absences
- Perform other administrative duties as assigned
Requirements
What you’ll need- Post-secondary education with a Legal Assistant Diploma and/or Law Clerk certificate
- Thorough understanding and knowledge of legal terminology, procedures and statutes
- Strong working knowledge of the Rules of Civil Procedure and the steps and stages that arise in litigation
- Proficient with legal software and MS Office 365 (Word, Excel, Outlook, PowerPoint, Teams)
- Proficient with PDF software (Tungsten/Kofax Power PDF/Adobe)
- Excellent time management, organizational and prioritization skills
- Ability to work independently and within tight timelines
- Eagerness to learn new technology/processes and further develop skills
- Familiarity with scheduling and in-person and virtual filing processes for the Toronto and Ontario courts
- Excellent attention to detail and diligent proofreading skills
- Strong interpersonal skills and an excellent team player
- Passionate about providing quality service and work product to lawyers, clients and the courts
- Good judgement and ability to exercise discretion when dealing with confidential and sensitive matters
