About the role
Key responsibilities & impact- Greet clients and patients in a positive, friendly manner
- Manage incoming calls and schedule veterinary appointments
- Convert more than 20% of new-client incoming calls into scheduled appointments
- Promote Care Companion Plans and other services
- Make weekly reminder calls to clients due or overdue for services
- Perform patient intake and discharge
- Educate clients about and facilitate use of the online pharmacy
- Handle cashier duties, reconcile the cash drawer daily, and complete opening and closing processes
- Maintain accurate patient medical charts and documentation
- Collaborate with the veterinary team to streamline patient flow and improve client experience
- Keep the reception area clean and inviting
- Resolve customer complaints proactively
- Adhere to OSHA standards and company safety policies
- Learn basic veterinary technical skills, including animal restraint and lab duties
- Perform other assigned responsibilities
Requirements
What you’ll need- High School Diploma or equivalent
- 1+ years of customer service experience, preferably front desk or call center experience in a fast-paced environment
- 1+ years of experience working with computers, including typing, email, and other software
- Ability to convert incoming client calls into scheduled appointments
- Ability to multitask accurately in a fast-paced environment
- Ability to remain calm and focused during high call volumes
- Ability to learn and use new computer software systems (PIMs, scheduling, etc.)
- Experience with or knowledge of handling dogs, cats, and exotic animals
- Typing 40+ wpm
- Basic MS Office products (Word, Excel) and email systems
- Strong customer service focus and adaptability to individual clients
- Excellent professional and empathetic phone demeanor
- Effective communication skills
- Flexibility for 10+ hour shifts, weekends, evenings, and holidays
- Ability to lift 25+ pounds and perform standing, walking, and reaching
- Ability to work around pets, biological hazards, and medications
- Veterinary experience is a plus, but not required
