About the role

Key responsibilities & impact

Greet clients and patients positively and provide a welcoming first point of contact
Manage incoming phone calls and schedule veterinary appointments
Convert more than 20% of new-client incoming calls into scheduled appointments
Promote Care Companion Plans and other practice services
Make weekly reminder calls to clients due or overdue for services
Perform patient intake and discharge
Educate clients about and facilitate use of the online pharmacy
Handle cashier duties, reconcile the cash drawer, and complete opening and closing processes
Maintain accurate medical charts and documentation
Collaborate with the veterinary team to streamline patient flow and improve client experience
Keep the reception area clean and inviting
Resolve customer complaints proactively
Learn basic veterinary technical skills, including animal restraint and lab duties
Follow OSHA standards and complete other assigned responsibilities

Requirements

What you’ll need

High School Diploma or equivalent
1+ years of customer service experience; front desk or call center experience preferred
1+ years of experience working with computers, including typing, email, and other software
Ability to convert incoming client calls into scheduled appointments
Ability to multitask accurately in a fast-paced environment
Ability to remain calm and focused during high call volumes
Ability to learn and use computer software systems, including PIMs and scheduling systems
Experience with or knowledge of handling dogs, cats, and exotic animals
Typing speed of 40+ wpm
Basic MS Office products, including Word and Excel, and email systems
Strong customer service focus and ability to adapt to individual clients
Excellent phone demeanor and professional, empathetic tone
Effective communication skills
Ability to work onsite; remote work is not available
Flexibility for 10+ hour shifts, weekends, evenings, and holidays
Ability to lift 25+ pounds and perform standing, walking, and reaching
Ability to work around pet-related sounds, smells, space constraints, potential bites or scratches, biological hazards, and medications
Adherence to OSHA standards and regulations
