About the role

Key responsibilities & impact
  • Provide high-level administrative support to the Westfield Insurance Foundation and Community Investment strategy
  • Support administration of donations and the Volunteer Grant Program
  • Coordinate Team Volunteer events
  • Maintain high-quality documentation of decisions and records
  • Enter approved donation amounts and terms into the Bonterra-CyberGrants platform
  • Complete templated donation letters and reconcile paid donations with the existing budget
  • Update CyberGrants for current and future donation decisions
  • Process Volunteer Grant submissions, verify volunteer hours, notify employees, and enter grant information for payment
  • Coordinate Team Volunteer events, including responding to requests within 48 hours, sending options and instructions, serving as the primary contact, gathering feedback, and tracking event details
  • Track employee engagement and participation metrics for Open Match, the Volunteer Grant Program, and Team Volunteering
  • Draft internal communications for intranet articles, newsletters, and Purpose Connect
  • Update infographics, flyers, and graphics used across Westfield’s global Enterprise
  • Support communications with external stakeholders regarding sponsorships, community events, volunteering, and nonprofit partners
  • Independently manage defined Community Investment processes from intake through completion, including deadlines, follow-ups, approvals, and documentation
  • Monitor Community Investment budgets, commitments, and expenditures; identify variances and escalate issues
  • Coordinate special projects and initiatives by establishing timelines, coordinating stakeholders, and ensuring deliverables are completed

Requirements

What you’ll need
  • 3+ years of experience in administrative coordination, program coordination, community investment, employee engagement, or a related field
  • High School Diploma or General Education Diploma (GED) and/or commensurate experience
  • Discretion and confidentiality when working with donations, nonprofit organizations, employee giving, and internal funding decisions
  • Strong time management and attention to detail
  • Verbal and written communication skills
  • Professionalism, accountability, stewardship, and integrity
  • Budgeting and monitoring budgets, commitments, expenditures, and variances
  • Computer literacy
  • Microsoft Suite, Teams, Excel, Forms, Word, Power Point, Copilot, Adobe Acrobat, and Canva
  • Documentation of donation requests, payments, grant submissions, employee inquiries, and general correspondence
