Program Coordinator
Workforce and Community Education. Serve as the primary point of contact for prospective learners, enrolled learners, partners, and the public through phone, email, web inquiries, virtual meetings, and in-person events .
About the role
Key responsibilities & impact- Serve as the primary point of contact for prospective learners, enrolled learners, partners, and the public through phone, email, web inquiries, virtual meetings, and in-person events
- Provide accurate information about PACE programs, course options, registration, certificates, completion requirements, learner support services, and next steps
- Conduct proactive outreach for inquiry follow-up, registration support, course access, login troubleshooting, persistence check-ins, completion reminders, and certificate communications
- Support inquiry-to-enrollment conversion and escalate enrollment barriers
- Assist with registration, course access, LMS navigation, vendor platform access, payment questions, certificate requests, documentation, and troubleshooting
- Use SIS, CRM systems, Monday.com, Microsoft Office, AI-enabled tools, and other platforms to document communications, track cases, support workflows, and maintain learner records
- Partner with the Program Manager on registrations, course access, completion data, certificates, transcripts, and learner records
- Support contractual and publicly funded program initiatives through learner communications and documentation
- Communicate learner trends, barriers, FAQs, registration issues, and service gaps to the PACE team
- Coordinate enrollment office hours, onboarding support, information sessions, events, and presentations
- Support third-party payment documentation, invoices, vendor coordination, learner completion, and program participation records
- Prepare reports, learner updates, summaries, evaluations, and operational documents
- Coordinate referrals to university departments, student services, community agencies, and internal support teams
- Escalate operational, technical, billing, catalog, LMS, or data issues while maintaining learner follow-through
- Support PACE special projects, process improvements, and learner experience enhancements
- Participate in occasional onsite activities, trainings, and/or events
Requirements
What you’ll need- Some college coursework and a professional certificate, required
- Associate or bachelor’s degree in business, education, workforce development, student services, communications, or a related field, preferred
- Equivalent combination of education and relevant work experience accepted
- Minimum of three (3) years of professional experience in student support, customer service, hospitality, enrollment support, workforce education, human services, social services, or a related learner-facing environment
- Experience providing support through phone, email, virtual, and web-based communication channels
- Experience with LMS platforms, CRM systems, Salesforce or similar tools, Destiny One or registration platforms, Microsoft Office, Monday.com, automation tools, and/or AI productivity tools preferred
- Experience supporting adult learners, workforce education programs, employer-sponsored training, community education, or continuing education programs preferred
- Experience supporting events, presentations, information sessions, or outreach activities in remote and in-person formats preferred
- Bilingual Spanish/English preferred
- Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and Teams
- Ability to use SIS, CRM, registration, LMS, project management, automation, and AI-enabled tools
- Strong recordkeeping and learner-record management skills
- Ability to interpret program information, registration requirements, learner support needs, and internal policies
- Ability to identify trends and communicate insights clearly
- Basic understanding of program coordination, learner support, reporting, invoicing, event support, and stakeholder communication
- Ability to manage multiple priorities and deadlines
- Ability to apply critical thinking, problem-solving, and sound judgment
- Strong organizational skills and attention to detail
- Ability to collaborate with internal teams and external partners
