About the role

Key responsibilities & impact

Serve as a primary point of contact for customers, vendors, and service providers
Coordinate customer meetings, appointments, and operational requests
Build and maintain professional relationships with customers, suppliers, terminal personnel, and government authorities
Provide timely support and communication regarding deliveries, payments, and service-related requests
Monitor and coordinate fuel dispatches from terminals to customer locations
Work closely with terminal operators, transport providers, and internal teams to ensure on-time deliveries
Track shipments and respond quickly to operational issues or delivery delays
Help manage terminal schedules and dispatch priorities based on customer requirements
Support inventory and supply chain activities
Process and maintain customer and supplier documentation
Support invoicing activities and record required operational information
Monitor incoming payments and share proof of payment or transfer confirmations
Coordinate supplier invoices, payment requests, and supporting documentation
Assist with account reconciliations and reporting activities
Manage office supply purchases and general administrative support
Prepare sales, operational, and market-related reports
Maintain accurate records in company systems and platforms
Support process improvements that enhance customer satisfaction and operational efficiency
Assist with special projects and operational initiatives

Requirements

What you’ll need

Associate's or Bachelor's degree in Business Administration, Logistics, Supply Chain, Industrial Engineering, Finance, or a related field preferred
2+ years of experience in operations, logistics, administration, customer service, or account coordination
Strong communication and interpersonal skills
Strong organizational skills and attention to detail
Ability to manage multiple priorities in a fast-paced environment
Proficiency in Microsoft Office, particularly Excel and Outlook
Bilingual English and Spanish communication skills
Experience in fuel distribution, transportation, logistics, energy, aviation, or related industries preferred
Familiarity with dispatch planning, inventory management, or supply chain processes preferred
Experience working with invoices, payments, and operational reporting preferred
