About the role

Key responsibilities & impact
  • Support WWP Programs team with meeting and event logistics for warriors and staff, including site selection, rate negotiation, catering, and on-site event support
  • Negotiate rates with hotels, ground transportation, and audio-visual vendors
  • Create event menus and negotiate pricing and contract details with catering companies
  • Identify cost savings, utilize expense controls, and manage budgets effectively
  • Build timelines, agendas, and activities
  • Use registration software to source venues, monitor registration, manage budgets, and generate reports using tools such as Cvent and Salesforce
  • Facilitate communications among Travel & Events and WWP teammates and departments
  • Collaborate with registration and travel teammates
  • Manage and prioritize multiple events and identify alternatives in challenging situations
  • Participate in event and meeting marketing as appropriate
  • Perform recordkeeping using registration software
  • Reconcile event finances, process invoices and receipts, verify billing with accounting, and prepare financial reports
  • Review contracts and invoices, including tax exemption and banquet event orders
  • Complete event close-outs with budget reviews, feedback surveys, and recommendations for future improvements
  • Attend and participate in required training and meetings
  • Perform other duties as assigned

Requirements

What you’ll need
  • Three years of experience working in events or meetings planning, or in a hospitality environment
  • One year of experience negotiating contracts
  • Bachelor’s degree in event planning, hospitality, or relevant field; equivalent combination of relevant experience, education, training, and certification may be considered in lieu of degree
  • Working knowledge of event management
  • Demonstrated ability to manage events of varying complexity
  • Strong project management, organizational, and time management skills
  • Ability to manage multiple priorities, work under pressure, adapt to changing priorities, and meet deadlines
  • Ability to interact with diverse team members, leadership, and external vendors and build effective working relationships
  • Strong interpersonal, written, and verbal communication skills
  • Demonstrated emotional intelligence, diplomacy, and empathy
  • Professional presence and ability to speak in public and represent the organization
  • Demonstrated attention to detail and accuracy
  • Proficiency using Microsoft Office
