About the role
Key responsibilities & impact- Support WWP Programs team with meeting and event logistics for warriors and staff, including site selection, rate negotiation, catering, and onsite event support
- Negotiate rates with hotels, ground transportation, audio-visual companies, and other vendors
- Create event menus and negotiate pricing and contract details with catering companies
- Identify cost savings, utilize expense controls, and manage budgets effectively
- Build timelines, agendas, and activities
- Use Cvent and Salesforce to source venues, monitor registration, manage budgets, and generate reports
- Facilitate communications among Travel & Events and WWP teammates and departments
- Collaborate with registration and travel teammates
- Manage and prioritize multiple events and adapt procedures when situations change
- Participate in event and meeting marketing as appropriate
- Maintain event records using registration software
- Perform financial reconciliations, process invoices and receipts, reconcile billing, and prepare financial reports
- Review contracts and invoices, including tax exemptions and banquet event orders
- Complete event close-outs with budget reviews, surveys, detailed summaries, and recommendations for improvement
- Attend required training and meetings
- Perform other duties as assigned
Requirements
What you’ll need- Three years of experience working in events or meetings planning, or in a hospitality environment
- One year of experience negotiating contracts
- Bachelor’s degree in event planning, hospitality, or relevant field; equivalent combination of relevant experience, education, training, and certification may be considered in lieu of degree
- Working knowledge of event management and ability to manage events of varying complexity
- Strong project management, organizational, and time management skills
- Ability to manage multiple priorities, work under pressure, adapt to changing priorities, and meet deadlines
- Ability to interact with diverse team members, leadership, and external vendors
- Strong interpersonal, written, and verbal communication skills
- Professional presence and ability to speak in public and represent the organization
- Demonstrated attention to detail and accuracy
- Proficiency using Microsoft Office
- Commitment to high standards of personal and business ethics and conduct
- Up to 10% travel
- Certified Meeting Professional (CMP) is preferred
