About the role

Key responsibilities & impact
  • Coordinate program purchasing activities, invoice processing, credit card reconciliations and payroll processing
  • Provide administrative support services to the WVU Positive Health Clinic
  • Type, edit and compose routine and confidential reports, meeting minutes and correspondence
  • Answer telephones, schedule meetings, maintain calendars and perform other administrative assistant duties
  • Coordinate credit card reconciliation and process travel-related forms and documentation
  • Review reports for completeness, accuracy and appropriateness
  • Review and approve office order requests
  • Order, purchase, receive and document supplies while maintaining program inventory
  • Perform office management duties, including payment of rent and utilities and management of staff cell phones and iPads for telemedicine
  • Receive, sort, track and distribute incoming and outgoing correspondence and packages
  • Create letters, memos, PowerPoint slides and meeting packets
  • Liaise with Information Technology to troubleshoot computer, shared drive, fax, telephone, copier and telemedicine needs
  • Organize meetings, including attendance coordination, agendas, minutes, locations and travel
  • Communicate with patients, family members and physicians
  • Prepare patient mail-outs and new patient intake folders
  • Forward lab reports, prescription refills and other patient information to appropriate clinic personnel
  • Assist with preparing website information, articles, reports and pictures
  • Assist with Food Pantry operations and receiving
  • Provide logistical support for community education and testing events
  • Perform other duties as assigned

Requirements

What you’ll need
  • Bachelor's degree required
  • Minimum of one (1) year of office administration or related administrative support experience required
  • Any equivalent combination of related education and/or experience will be considered
  • Basic computer knowledge and ability to operate standard office software preferred
  • Must be able to maintain confidentiality of all information while performing tasks
  • Excellent oral and written communication skills
  • Excellent organizational skills
  • Basic mathematical skills preferred
  • Prior experience with Microsoft Office Suite software applications, including Word, Excel, Access, PowerPoint and Outlook preferred
  • Knowledge of medical terminology preferred
  • Previous experience with payroll preferred
  • All qualifications must be met by the time of employment
  • May be required to drive to purchase Emergency Financial Assistance Cards, Transportation Cards or to Community Events
