About the role

Key responsibilities & impact
  • Provide logistical and operational support to the WVU Board of Governors, WVU Research Corporation, Office of General Counsel, and Executive Initiatives
  • Coordinate agendas, schedules, logistics, materials, postings, and deadlines for Board and committee meetings
  • Process agenda items and prepare agenda books for Board meetings
  • Administer the paperless Board meeting program and manage Board materials
  • Arrange travel and hotels for Board members and process travel reimbursements
  • Communicate meeting arrangements to Board members
  • Take, transcribe, and publish official meeting minutes
  • Process and implement approved Board actions and required reports
  • Manage public postings, policy comments, revisions, and compliance requirements
  • Track Board member training and educational requirements
  • Maintain historical Board records and the Board of Governors website
  • Provide administrative support to the Board Chair and committee chairs
  • Liaise with the Higher Education Policy Commission
  • Support WVURC Board meetings through scheduling, agendas, logistics, minutes, records, and follow-up
  • Support attorneys with special projects, cases, litigation, case management, schedules, timelines, and deadlines
  • Provide staff support for executive initiatives and external partnerships
  • Prepare briefing documents, maintain follow-up records, draft correspondence, gather information, coordinate meetings, and complete follow-up actions

Requirements

What you’ll need
  • Bachelor's degree
  • Minimum of five (5) years of experience involving work in higher education, work in legal field/law office, or equivalent complex and regulated environment
  • Strong record of responsibility and experience in administrative support
  • Experience in a legal or regulatory environment is preferred
  • Any equivalent combination of related education and/or experience will be considered
  • Strong commitment to ethics and integrity
  • Excellent organizational skills and ability to process multiple tasks and meet deadlines
  • Ability to handle highly confidential and sensitive matters
  • Ability to handle multiple, simultaneous, and complex tasks and projects
  • Ability to conduct research and utilize critical analysis skills
  • Excellent writing skills
  • Ability to gather and organize large quantities of information and present complex issues succinctly
  • Ability to independently draft clear and concise correspondence, memoranda, reports, and comprehensive meeting agendas
  • Ability to establish and maintain effective working relationships with individuals, departments, external stakeholders, and regulating authorities
  • Ability to rapidly acquire and continually update knowledge of University, State, and regulatory-body policies and procedures
  • Ability to learn and master the paperless Board materials portal
  • Ability to maintain and update the WVU Board of Governors website using appropriate software and protocols
  • Ability to work independently with discretion and judgment
  • All qualifications must be met by the time of employment
