About the role
Key responsibilities & impact- Provide logistical and operational support to the WVU Board of Governors, WVU Research Corporation, Office of General Counsel, and Executive Initiatives
- Coordinate agendas, schedules, logistics, materials, and deadlines for Board of Governors and committee meetings
- Prepare agenda books and administer the paperless Board meeting program
- Arrange travel and hotels for Board members and process travel reimbursements
- Communicate with Board members regarding meeting arrangements
- Take, transcribe, and publish official meeting minutes
- Process and implement Board actions, policies, appointments, reports, and required filings
- Track Board member training and educational requirements
- Maintain historical Board records and support the Board Chair and committee chairs
- Liaise with the Higher Education Policy Commission and submit required reports
- Maintain the Board of Governors website and post agendas and minutes
- Provide administrative support for WVURC board meetings, including scheduling, agendas, logistics, minutes, records, and filings
- Support attorneys with special projects, litigation, case management, scheduling, deadlines, and legal-services work
- Prepare briefing documents, maintain records, draft correspondence, and coordinate follow-up for executive initiatives and external partnerships
- Perform other duties requested by the Vice President and Chief of Staff
Requirements
What you’ll need- Bachelor's degree
- Minimum of five (5) years of experience involving work in higher education, work in legal field/law office, or equivalent complex and regulated environment
- Strong record of responsibility and experience in administrative support
- Experience in a legal or regulatory environment is preferred
- Strong commitment to ethics and integrity
- Excellent organizational skills and ability to process multiple tasks and meet deadlines
- Demonstrated ability handling highly confidential and sensitive matters
- Demonstrated ability to handle multiple, simultaneous, and complex tasks and projects
- Ability to conduct research and utilize critical analysis skills
- Excellent writing skills
- Ability to gather and organize large quantities of information and prepare clear and concise correspondence, memoranda, reports, and meeting agendas
- Ability to establish and maintain effective working relationships with individuals, departments, external stakeholders, and regulating authorities
- Ability to learn and understand University, State, and regulatory-body policies and procedures
- Ability to learn and master a paperless Board materials portal
- Ability to maintain and update the WVU Board of Governors website using appropriate software and protocols
- Ability to work independently with discretion and judgment
- All qualifications must be met by the time of employment
