About the role

Key responsibilities & impact
  • Generate, distribute, and maintain records for standard and custom weekly, monthly, and annual reports
  • Initiate actions and monitor follow-up to ensure compliance with internal processes, procedures, and federal, state, and local mandates
  • Coordinate the university system-wide background check program for staff, faculty, volunteers, and students
  • Review background checks flagged for discrepancies or issues
  • Design and provide compliance training for internal university clients performing background checks
  • Coordinate and serve on the Background Check Committee
  • Serve as point of contact through the pre-adverse and adverse background check process
  • Manage the relationship with the background check vendor and coordinate updates and enhancements
  • Maintain the Employee Relations database with Employee Relations
  • Process background check vendor invoices
  • Conduct weekly, monthly, and annual compliance audits
  • Organize and maintain Standard Operating Procedures for Talent Acquisition and Recruitment
  • Monitor and update the Talent Acquisition and Recruitment webpage
  • Review and update internal knowledge-based articles
  • Process invoices and P-card reconciliation
  • Monitor, respond to, or assign Salesforce cases
  • Monitor and respond to messages in multiple vanity accounts
  • Facilitate, monitor, and renew Parent / Child requisitions
  • Distribute weekly communications to hiring managers and new hires
  • Assist with policy updates
  • Support vendor contracts and participate in the RFP process
  • Coordinate the Dual Career Program, including intake meetings and monthly client follow-up
  • Build relationships with external employers, organizations, and HR professionals
  • Support talent acquisition outreach, Handshake, college job-sharing activities, and career fairs
  • Manage external job postings, job advertisements, renewals, payments, and tracking
  • Administer Workforce WV Virtual monthly career fairs
  • Maintain recruitment outreach documentation
  • Order office supplies and track IT equipment
  • Administer contract service vendors
  • Schedule meetings and candidate interviews
  • Perform other related duties as assigned

Requirements

What you’ll need
  • Bachelor’s Degree
  • A minimum of two (2) years of relevant experience in reporting, auditing, program monitoring, and vendor relations
  • Human Resources administrative duties or equivalent experience
  • Experience utilizing an applicant tracking system
  • Any equivalent combination of related education and/or experience will be considered
  • Knowledge of federal, state, and local laws governing employment policies and practices
  • Proficient with Microsoft Office Suite and Access
  • Knowledge of or ability to quickly learn internal HRIS and talent management systems
  • Demonstrated ability to communicate effectively verbally and in writing
  • Ability to work in a team environment
  • Ability to work with minimal supervision
  • Ability to meet deadlines
  • Demonstrated knowledge of current technology
  • Excellent interpersonal skills
  • Demonstrated ability to maintain confidentiality
  • Demonstrated research and critical analysis skills
  • Human Resources experience preferred
  • All qualifications must be met by the time of employment
