About the role

Key responsibilities & impact
  • Support occupational health and safety routines in coordination with HR and/or the Occupational Health and Safety Department (SESMT)
  • Monitor the scheduling of occupational health examinations, training sessions, campaigns, document controls, PPE distribution, and action plans
  • Monitor daily facilities operations and check the condition of cleaning services, reception, pantry, utilities, and access controls
  • Open and track preventive and corrective maintenance requests, update deadlines, and support communication with service providers and suppliers
  • Assist the manager with company vehicle fleet controls
  • Support corporate travel and travel arrangements for expatriate executives, including quotes, reservations, itineraries, changes, and cancellations
  • Support the organization and execution of internal corporate events and internal communications initiatives
  • Control inventory and support the purchase of office supplies and consumables
  • Prepare quotation requests, purchase requisitions, and purchase orders; perform initial checks of invoices and documentation
  • Update contract, payment, and budget controls for manager validation
  • Organize and update documents, records, licenses, certificates, checklists, and supporting evidence
  • Flag upcoming deadlines and outstanding items related to facilities, health and safety, travel, and events
  • Support the organization, communication, and execution of the annual prevention calendar, including campaigns, training, inspections, Workplace Safety Week (SIPAT), and emergency drills
  • Update spreadsheets and basic KPIs covering expenses, service requests, deadlines, maintenance, travel, events, and health and safety initiatives
  • Support employee experience and internal communications initiatives
  • Prepare announcements and basic content for review
  • Provide administrative support to expatriate executives with schedules, meetings, travel, documents, and routing of requests
  • Manage office facilities and maintenance, monitoring preventive and corrective needs and relationships with suppliers
  • Monitor office repairs, improvements, and refurbishment projects
  • Ensure the preservation, organization, and proper functioning of workspaces
  • Manage and control the company’s asset inventory, keeping records up to date and supporting the identification, movement, and control of company assets

Requirements

What you’ll need
  • Bachelor’s degree completed or in progress in Business Administration, Human Resources, Executive Secretarial Studies, Facilities Management, or a related field; or technical training in Secretarial Studies or an administrative field
  • Intermediate English proficiency for spoken and written communication with expatriate executives, suppliers, and international partners
  • Microsoft Office, including intermediate Excel skills for controls and reporting
  • Basic knowledge of occupational health and safety, facilities, and support routines for expatriate executives
  • Experience with service request systems, travel agencies, or ERP systems is a plus
  • Availability to serve as secretary of the Internal Commission for Accident Prevention and Harassment (CIPAA) and as an emergency response team member, participating in mandatory training, meetings, inspections, drills, and prevention and emergency response activities
  • Strong organization, prioritization skills, discipline in maintaining controls, and attention to detail
  • Clear and courteous communication, strong writing skills, and a professional demeanor
  • Ability to communicate in English with expatriate executives, suppliers, and internal departments
  • Service-oriented approach, discretion, confidentiality, and ability to organize executive schedules, appointments, documents, and requests
  • Ability to update controls, track expenses, deadlines, and basic KPIs, and flag deviations to the manager
  • Proactivity, agility, and autonomy in carrying out established routines
  • Responsibility and commitment to safety, compliance, and internal policies
