About the role
Key responsibilities & impact- Maintain and monitor project plans, schedules, work hours, budgets, and expenditures
- Track daily project costs and assist with cost reporting and forecasting
- Review, reconcile, and process project invoices and supporting documentation
- Prepare project reports, correspondence, meeting materials, and required documentation
- Organize, attend, and participate in project and stakeholder meetings
- Prepare meeting minutes, action items, and decision records, and follow up on outstanding items
- Maintain accurate project files, records, drawings, correspondence, and documentation
- Monitor project progress and identify changes, delays, risks, and issues affecting delivery
- Support the Project Manager and project team with schedules and project management calendars
- Coordinate information between clients, consultants, subcontractors, trades, and internal departments
- Assist with identifying project risks and implementing solutions
- Communicate potential concerns proactively to project team members
- Ensure documentation is maintained and projects follow established processes and frameworks
- Support project close-out activities, including documentation, cost reconciliation, and record completion
- Maintain confidentiality and uphold YORK1 policies, procedures, and safety requirements
- Perform other duties as assigned
Requirements
What you’ll need- Post-secondary education in Civil Engineering Technology (CET), Construction Management, Project Management, or a related field is an asset
- 2+ years of experience supporting engineering, construction, remediation, or infrastructure projects
- Experience with project coordination, document control, and project administration
- Experience tracking project costs, reviewing invoices, and maintaining financial documentation is an asset
- Strong organizational skills with exceptional attention to detail and accuracy
- Ability to prioritize conflicting demands and manage time efficiently
- Strong written and verbal communication skills
- Effective problem-solving, decision-making, and conflict-management skills
- Proficiency with Microsoft Office, including Word and Excel
- Ability to learn and adapt to new project management and document control systems
- Experience working with trades, consultants, subcontractors, and other client groups is an asset
- Knowledge of WHMIS, WAH, WSIB, and OHSA requirements is an asset
- Commitment to workplace health and safety
- Ability to maintain confidentiality of company and project information
