About the role
Key responsibilities & impact- Serve as the primary contact for customer and sales communications within a sales region
- Manage quotes and create capital equipment quotations
- Enter sales orders into the ERP order management system
- Process orders from receipt through invoicing
- Monitor backlog and provide order and shipment status
- Collaborate with manufacturing, shipping, accounts receivable, finance, logistics, sales, IT, service, and marketing
- Work with management to obtain approvals and documentation before completing transactions
- Monitor orders and coordinate with production control, shipping, and logistics to obtain shipment information
- Review scheduled ship dates and manage or escalate backlog changes
- Analyze inventory and assign orders to building configurations from US inventory locations
- Maintain detailed communication and customer activity records
- Provide daily, weekly, and monthly order status reports and follow month-end cut-off schedules
- Process returns, exchanges, cancellations, and price adjustments according to SOPs
- Assist with sales force forecasts
- Back up Sales Success Specialists as needed
- Maintain and follow applicable GMP and ISO 9001 processes and procedures
Requirements
What you’ll need- College degree or equivalent preferred
- 3 or more years of related experience in Order Administration, sales support and customer support roles
- International order experience highly desirable
- Understanding complex configurations and ability to build and assign existing inventories to an order
- Demonstrated cross collaborative communication skills
- Customer service skills supporting responses to common customer inquiries or complaints
- Ability to respond to regulatory inquiries
- Excellent written and verbal communication skills
- Self-motivated and able to work with minimal supervision
- Ability to work well in a team environment
- Proficiency with Microsoft Excel, ERP/CRM, Lotus Notes, or similar software applications required
- Bilingual ability is a plus
