About the role

Key responsibilities & impact
  • Act as a primary contact for communications, customer care and inquiries for a ZEISS Meditec Consumables region
  • Prepare and enter sales orders into ERP/CRM and execute transactions to completion
  • Collaborate with SBU factory, shipping, accounts receivable, sales partners and other ZEISS entities
  • Review configurations and build orders using US inventory and factory orders
  • Review and escalate shipment backlog
  • Forecast, manage order backlog and release orders to revenue
  • Provide cross-collaborative communication and customer service to ZEISS customers, including 2- to 4-hour response times
  • Obtain approvals and documentation before completing transactions
  • Process orders from receipt through invoice and provide order and shipment status
  • Create capital equipment quotations
  • Monitor orders and coordinate with production control, shipping and logistics
  • Review scheduled ship dates and update customer delivery requirements
  • Analyze inventory and assign it to orders; complete configurations via factory orders
  • Maintain detailed communication and customer activity records
  • Provide daily, weekly and monthly order status reports
  • Process orders, returns, exchanges, cancellations and price adjustments according to SOPs
  • Assist in creating forecasts for the sales force
  • Back up Sales Success Specialists as needed
  • Maintain and follow applicable GMP and ISO 9001 processes and procedures
  • Resolve customer complaints while maintaining positive customer relations and acceptable financial and ethical outcomes

Requirements

What you’ll need
  • Requires 3 or more years of related experience in Order Administration, sales support and customer support roles
  • International order experience highly desirable
  • Understanding of complex configurations with the ability to build and assign existing inventories to an order
  • Demonstrated cross collaborative communication skills
  • Customer service skills that will support successful response to common inquiries or complaints from customers
  • Ability to respond to regulatory inquiries
  • Excellent written and verbal communication skills are necessary
  • Self-motivated, ability to work with minimal supervision
  • Must work well in a team environment
  • Proficient with Microsoft Excel, ERP/CRM or similar software applications is required
  • College degree or equivalent preferred
  • Bi-Lingual (English/Mandarin/German/Spanish) Preferred
