Key responsibilities & impact- Support daily operations of the Facilities Triage Center within the Facilities Business Office
- Serve as a central coordination point between customers, Facilities technicians, supervisors, and operational teams
- Perform detailed data entry, work order management, customer service, reporting, data analysis, process improvement, and project support
- Gather, enter, compile, code, classify, validate, and analyze facilities work order data across multiple systems
- Monitor electronic work queues and workbenches
- Review service requests for completeness and accuracy
- Organize and route workflow to appropriate Facilities teams
- Assist customers in identifying the appropriate service or next step for facilities-related needs
- Provide high-volume, advanced customer service in a fast-paced operational environment
- Communicate with customers by telephone, email, electronic service requests, and in-person interactions
- Gather information to accurately document facilities concerns
- Respond to questions regarding work orders and service processes
- Research issues and provide status information
- Coordinate with Facilities departments to support timely resolution
- Manage multiple requests and changing operational priorities
- Perform other duties as assigned
Requirements
What you’ll need- Bachelor's degree in a business field and 6 months of qualifying experience; OR
- Associate's degree in a business field plus two years of qualifying experience; OR
- Four years of qualifying experience; OR
- Equivalent combination of education, training and/or experience
- Experience compiling, analyzing, and interpreting data
- Experience developing reports and written analysis
- Experience using spreadsheets, databases, and reporting tools
- Ability to resolve advanced customer service issues
- Excellent verbal and written communication skills
- Experience and knowledge working with diverse groups with conflicting and urgent needs
- Ability to maintain harmonious working relationships campus wide
- Ability to operate multi-line phones and a two-way radio system
- Advanced skill level with MS Office Suite (Word, Excel, Outlook), Oracle, Project time entry, and Data Warehouse/Discoverer
- Basic knowledge of maintenance requirements for structural, electrical, mechanical, plumbing, elevator, sheet metal, and grounds systems
- Preferred: experience supporting facilities, operations, or maintenance functions
- Preferred: experience with enterprise systems such as Oracle eAM, data warehouses, and reporting platforms
- Preferred: basic knowledge of web software such as Dreamweaver
- Preferred: advanced knowledge of maintenance requirements for structural, electrical, mechanical, plumbing, elevator, sheet metal, and grounds systems
