Key responsibilities & impact- Operational preparation, execution, and follow-up of group and series tours in the back office
- Establishment of the required structures and data foundations before the start of the season
- Creation and maintenance of tours and travel-related data in company-specific systems
- Review and maintenance of allocations and hotel assignments
- Creation of hotels, ancillary service providers, and other tourism service partners in the systems
- Entry and maintenance of booking numbers, guest details, and participant numbers
- Checking data for completeness and plausibility
- Preparation, review, and timely distribution of participant lists, vouchers, and other travel documents
- Creation and maintenance of operational working lists in MS Excel or LibreOffice Calc
- Review and further development of spreadsheets, datasets, formulas, and reporting logic
- Processing short-notice changes in systems, lists, and travel documents
- Following up on outstanding operational matters and coordinating the necessary actions
- Supporting the resolution of operational queries and complaints
- Researching and analyzing issues and identifying potential sources of error
- Reviewing and optimizing workflows, data structures, and tools
- Supporting the use, testing, and further development of importers and data transfer processes
- Supporting digital and AI-assisted processes and systems
- Collaborating with related teams and departments
- Contributing to cross-departmental projects
- Providing operational support for ongoing group tours and managing own projects from preparation through final completion
Requirements
What you’ll need- Completed commercial or tourism-related training, a completed degree, or an equivalent qualification
- Several years of professional experience in commercial administration or operations support
- Back-office experience is an advantage
- Experience in the tourism industry, particularly in managing group or series tours, is desirable
- Excellent knowledge of MS Excel
- Knowledge of LibreOffice Calc is an advantage
- Confident working with extensive spreadsheets, data lists, complex formulas, and reporting logic
- Strong affinity for numbers and a good understanding of large datasets, relationships, and plausibility checks
- Experience with data-driven processes, imports, or system-based data maintenance is an advantage
- Experience in optimization projects or in developing processes and workflows is desirable
- Affinity for digital tools and an interest in the practical application and further development of AI-assisted ways of working
- Highly conscientious, accurate, and structured approach to work
- Strong quality and sense of responsibility
- Ability to systematically identify, analyze, and resolve sources of error
- Independent and reliable working style combined with a strong team and service orientation
- Ability to handle multiple operational tasks simultaneously and adapt priorities to seasonal requirements
